NotesOrg - The Notes and Project Manager Manual ----------------- 1. About NotesOrg ----------------- NotesOrg 2.1 - The Notes and Project Organizer was designed to enhance Newton's Notepad. It allows you to organize your notes not only by Newton's folder technique but also by projects, names and topics. You can link a note to a name from your card file or create meetings and to-do's attached to your note or put links to your notes everywhere on your Newton. You can also create notes quickly using shortcuts. Filter your notes by date from and to, project, name and topic. Finally you can manage your projects with NotesOrg's built-in Project-Manager. It also supports iambic's ActionNames. ---------------------- 2. System Requirements ---------------------- NotesOrg 2.1 was made for Newton OS 1.x only. A Newton OS 2.0 compatible version is scheduled for April 96. This version will be free for all registered users of NotesOrg. Installation --------------- You should have got the following Newton packages: - no21.pkg - This is the NotesOrg application. - nomanual.pkg - This is the NotesOrg manual as a Newton book. You can access it directly from NotesOrg or from your Extras drawer. - register.pkg - This is the Register package to register your NotesOrg copy via e-mail directly from your Newton. Register is copyright by Flash Sheridan. To install these packages on your Newton you need the Newton Connection Kid or the Newton Installer. If you are updating from an earlier version of NotesOrg, remove the previous version from your Newton first. -------------------- 4. The Detail Screen -------------------- The detail screen is where you see your notes completely. It consists of two parts: The header and the note's area. 4.1 The Header -------------- The header shows all additional information for the current note: Date of creation, folder, project, name and topic. You see it at the top of your NotesOrg screen. 4.1.1 The Date In the upper left corner of the NotesOrg screen you see the date when the current note was created.Tap the date to hide or unhide the header. 4.1.2 The Entrylines There are three entrylines in the header of your note: Project, Name and Topic. Here you add information to categorize your notes. Tap the label of an entryline and then tap Add/Remove to add or to remove the content of that line to or from the list of that label. To look up your Name File: 1. Fill in a first or a last name, part of a name, city, state, etc. in the Name entryline. 2. Tap Name. 3. Tap Search. The Name label list will show a list of all names found. The first matching item is put into the Name entryline. To show the name card for the current name: 1. Tap Name. 2. Tap Show Card. 4.1.3 The Filing Button Use the filing button and the folder tab as you do in your Notepad. If you have set the folder tab to All Notes, NotesOrg displays the name of the folder the note is filed in at the left side of the filing button (unless it is not unfiled). 4.1.4 The Action Button Tap the action button to open the action menu. - You can use the action button to print, fax, beam or mail your note. If you tap Print, Fax or Mail, you can choose between the Standard and the Report format. The Standard format will print, fax or mail the current note, the Report format will print, fax or mail all notes that match the current filter if set or all notes if not. - From the action menu tap Add meeting or Add to-do to create a calendar entry that is linked to the current note. - Tap Place call to start a phone call to the person from the Name entryline. - You can also tap Delete, Duplicate or Delete all. - Tap Change date to change the date of creation of the current note. NOTE: The link number is the date and time of the note in a Newton internal format. If you change the date, you will lose the links that you might have created to that note. - Tap Go to date to display the first note of the day that you have selected from the popup calendar. If there are no notes on that day, NotesOrg will display the following note. 4.1.5 The Link The circle in the upper left corner of the header is the link symbol. A link to a NotesOrg note looks like this: 'asee NotesOrg 12345678'. Everywhere you see a link like this, you can display the NotesOrg note that is attached to it. To manually create a link: 1. Tap the link symbol twice, but don't lift the pen after the second tap. 2. Keeping the pen down, drag the link where you want it to go. (Another NotesOrg note or everywhere else on your Newton; you might want to clip it to the edge of your Newton screen first to change to another application.) To display a note that is attached to a link: 1. Select 'NotesOrg 12345678'. (NOTE: Don't select the 'asee'; that only slows down the assistant.) 2. Tap Assist. To see a list of links that are attachted to NotesOrg notes: 1. Tap the action button. 2. Tap Show links. 3. Set the For label to Current note, if you want a list of links to the current note or to Any note, if you want a list of links to all NotesOrg notes. 4. Fill in a project, a name, a topic or additional text that has to be in the attached object (optional). 5. Tap Show. 4.1.6 Navigation Use the four arrows in NotesOrg's header to go through your notes. Left arrow = first note. Up arrow = previous note. Down arrow = next note. Right arrow = last note. 4.1.7 Shortcuts For a faster creation of a note you can use shortcuts. There are pre-defined shortcuts for date, time, date & time and your name. To create a new shortcut: 1. Mark the text you want to add to the shortcuts list. 2. Tap Shortcuts. 3. Tap Add/Remove. To insert a shortcut: 1. Tap once where you want the shortcut to be inserted. (If you don't tap, the shortcut will be inserted at the - invisible - cursor position or at the end of your last paragraph.) 2. Tap Shortcuts. 3. Tap the shortcut that you want to insert. To delete a shortcut: 1. Select exactly the same text like the shortcut that you want to delete. (You might want to insert the shortcut first.) 2. Tap Shortcuts. 3. Tap Add/Remove. 4.2 The Note's Area The note's area of NotesOrg is exactly like Newton's Notepad. Here you can write or draw, use gestures to erase, move or copy its contents. Double-tap to open an on-screen keyboard. Tap Newton's up- or down-arrow to scroll it. ---------------- 5. The Overviews ---------------- To open an overview: 1. Tap NotesOrg's overview-dot (between the four navigation arrows). 2. Tap the overview you want to open. Tap Newton's overview-dot to return to the detail-view without selecting a note from the overview. 5.1 Overview ------------ This is the default overview. It starts at the current note and displays your notes in chronological order. Use Newton's up- and down-arrows to scroll it. Tap the action button and then tap Go to date to scroll it to a specific date. Tap a note to go to it. You also get to this overview when tapping Newton's overview-dot. 5.2 Recent Notes ---------------- This overview shows the notes that has been displayed last (max. eight). Tap one note to go to it. 5.3 Query-Mode -------------- The Query-Mode overview is similar to Newton's Find. To use it fill in some text in the entryline. NotesOrg starts searching immediately. 5.4 Project-Manager ------------------- To use the Project-Manager you have to use Task, In progress or Completed as a note's topic. This makes the note a Project-Note that will be displayed in the Project-Manager. When setting Task, NotesOrg asks for the date when the task is due to be started. If you set the topic to In progress or Completed, NotesOrg changes the date to today's date. In case of In progress it is the day when you have started that task. In case of Completed it is the day when you have finished it. To change the currently displayed project: 1. Tap Project. 2. Tap the project that you want to see. To change the type of currently displayed entries: 1. Tap Show. 2. Tap what type of entries you want to see. Use Newton's up- and down-arrows to scroll the Project-Manager. Tap a day's header bar to use the Go to date function. The different font styles of the Project-Manager entries mean: - Bold = Due task, (due to be started today or earlier). - Plain = Upcoming task. - Underlined = Task that is in progress. - Italic = Completed task. Tap a project entry to get a popup menu: - Tap Show to go to that note. - Change the project entry's date with Change date. - Tap In progress or Completed to change the status. - If there is a name attached to that project note (you see a little remark symbol), tap Show name card to open the Name File and display the name card of that person. ---------------- 6. The Statusbar ---------------- The Statusbar is located at the bottom of the NotesOrg screen. 6.1 New ------- Tap New to create a new note. 6.2 Filter ---------- If you use a filter, NotesOrg will only display those notes that match the criteria that you have set. To set a filter: 1. Tap Filter. 2. Fill in the criteria. 3. Tap Set. To clear a filter: 1. Tap Filter. 2. Tap Clear. To save a filter: 1. Tap Filter. 2. Fill in the criteria. 3. Fill in a name for the filter. 4. Tap Save. Once you have set a filter, the text of the Filter button changes to '[Filter]'. NOTE: As long as you have not registered your copy of NotesOrg, the From entryline defaults to the current date minus five days. It can not be changed to a date older than that. 6.3 Prefs --------- From the i in the statusbar you go to NotesOrg's prefs. Reorganizing your labels means that NotesOrg checks for all project, name or topic entries that are in the lists but are no longer used in your notes. These will be deleted from your lists. After the reorganisation the labels' lists display all those entries that are used in your notes. ----------------------- 7. iambic's ActionNames ----------------------- If you have iambic's ActionNames installed on your Newton and checked the Show NotePad access button option in the ActionNames prefs, you will see an AN button in NotesOrg's statusbar. It has the same content as the Notepad AN button except the Make call feature. To make a call tap NotesOrg's action button and then tap Place call. ------------------------- 8. Costs and Registration ------------------------- NotesOrg is shareware. This means that you can test it for a short period. If you want to use it on a daily basis, you have to register it. As long as you have not registered it, NotesOrg is fully functional with two exceptions. You will see a Register screen when starting NotesOrg and you can work only with notes that are not older than five days. If you register you will not only get rid of these limitations but also get ALL FURTHER NOTESORG UPDATES FOR FREE and get full support from us. The registration fee is US$30.00 or DM40.00, if you send us cash or a DM-check. Once you have completed the registration procedure, please send the NotesOrg Registration-ID (from the NotesOrg Register screen) to: e-mail: a.marcour@kagi.com The registration fee will be charged on your next CompuServe bill. As soon as we have the confirmation from CompuServe (normally within one business-day) and your Registration-ID, we will send you a Registration-Code that will turn your NotesOrg copy into an unlimited version. 8.3 Register Package -------------------- If you can send e-mail from your Newton and want to pay with your credit card, please use Flash Sheridan's Register. 1. Install the register.pkg. 2. Start NotesOrg. 3. Tap the diamond button in the Register screen. Once you have completed the registration procedure, you will automatically get a Registration-Code from us that turns your NotesOrg copy into an unlimited version. 8.4 Credit Card --------------- If you want to pay with your credit card, please send (if you can send e-mail from your Newton, please use the Register package) - your name - (e-mail) address - your Registration-Id - your credit card information (name, number and exp. date) to: e-mail: a.marcour@kagi.com or fax: +49 2246 300150 You will get a payment form from us that you have to mail (postal, e-mail or fax) to the Kagi Shareware clearing house. We have to do it this way since we are not able to clear credit card payments ourselves yet. On the other hand Kagi is not allowed to get credit card orders from others than the credit card owner. That's why you have to send the form to Kagi.
