Overview of Program Screens

Product Search Screen

Search Results(Top Pane)
This area displays an entire price file or a subset of the file based on a search string entered below. Note how some items are bold faced or italicized to act as "headers" and "footers" of info about a product or group of products. This formatted can be accomplish by simply appending a "!*!b" or a "!*!i" to the front of an item's description. The "New Item" button is an easy way to add an item to a price list or to a speific quote.

Detail View (Middle Pane)
Displays detail about the current selected item. Clicking ANYWHERE in the detail view will bring up a editing screen where you can modify the data for this item, add notes about the item, or modify the item's information before including it in a quote. The "Notes" and "Add to Quote" buttons provide a shortcut to these commonly used features. The "Add to Quote" button also lets you enter the Category Editor, which lets you change, add or delete categories for this quote and their associated margins.

Query View (Bottom Pane)
Here you can select a price file, or enter the price file editor to add, or delete price files. You can also specify a string to search for in the selected database.The "Enable Auto Searching" checkbox causes QuoteMaker to automatically start a new search everytime you enter a new search string (rather than having to manually hit the "Search for Matches" button. The "Find macthes inside word" option slows down the search engine but allows you to find matches within words rather than searching just by word beginnings.


Line Item OverView Screen

Quote Header Bar
Clicking on this bar brings up the Quote Editor View which allows you to change the name of the Quote, set the Master Default Margin for the Quote, and view the Total Cost, Sell Price, Retail and Actual Achieved Profit Margin for the Quote

Category Header Bar
You can Drag and Drop the category above or below another category header bar to change the order in which the categories appear in the quote. Clicking anywhere on this bar will collapse or expand the category to display all line items associated with it or just the category itself. Clicking on the "Circle/Square" icon in the Category Bar brings up the Category Editor, which allows you to change the name of the category, multply the number of units of the category, change the default margin for the category, delete all items in the category, reset any individual line item margins for items assigned to the category, or view the actual and achived margins for the category as well as the total cost, sell price, and list price for the items in the category.

Line Items
You can drag and drop line items to move them from one category to another or to change their order of appearance in an individual category. By simply clicking on a line item, you will bring up the line item editor, which will allow you to edit the information associated with the line item, including sell price and margin, add notes about the line item, or delete the line item from the quote

Note: At the bottom of the screen is a footer bar which will display subtotal information if their is either an assigned tax rate or shipping charge for the quote.


Client Info Screen

Client Voice Notes
If your Newton device is equipped with a microphone, you can use this feature to record contact information about your client on the fly and then transcribe it later into your newton!

"Add to Names" Button
Once you've filled out all of the client info, clicking on this button will tell QuoteMaker to create an entry in your Newton's Names file with the data

Notes and Miscellaneous Screen

More Voice Notes!!!!!
Just like with the Client Info screen, the notes screen let's you record notes about the quote you are working on and transcibe the later at your leisure. Cool!

Quote Number
Every Quote gets assigned a "unique" quote number. You can control the appearance of this quote number through the prefernces screen. (see related preferences info screen). A QuoteMaker quote number has 4 parts:

Part 1: "Employee Number"
Part 2: "Sequence Number"
Part 3: "Control Number"
Part 4: "Entry Number"

Part 1 and Part 2 of the Quote ID can be arbitrarily set by the user. Part 1 is labeled as an employee number to distinguish you from another QuoteMaker user in the same company. Part 2 is a sequence number. This is used in case you were to lose your newton, get a new newton, or needed to erase your newton and start from scratch. In such cases, you would change the "sequence number" to ensure that quotes created by your new or replacement newton would have different "quote numbers" than the old one.

Part 3 is a "control number". This number is reserved by QuoteMaker and can only be changed by the author

Part 4 is an "entry number". Everytime you create a new quote in quotemaker, a counter is incremented and that number is used here. So the first quote you create would have 0 for this number, the second would have 1, etc. etc. If you erased your QuoteMaker data file or started with a new or replacement Newton, this number would start from 0 again (hence the need for the "sequence" number

Auto Delivery Status
QuoteMaker has the ability to automatically submit quotes via email to a email address of the user's choice in a user selected data format. Here the user can flag a quote as to either be automatically submitted, never submitted, or even flag it as already being sent. QuoteMaker will also automatically set any successfully transmitted items to being already sent on it's own if it is successful in posting the item to the Newton's OutBox.....

Billing Info Screen

This screen appears to me to be extremely self explanatory so hope about we hop onto the next view......

Signature Screen

Although,the newton user's signature is automatically appened to the bottom of any printout. By having the client sign this screen, his/her signature will also be included at the bottom of the printout
